Gifts & Stewardship Coordinator

Job Description Summary
The Gifts and Records Administrator reports directly to the Director of Advancement Services and ensures timely, accurate, and courteous service to the leadership of the Philanthropy Department of Hartwick College. This position will provide oversight for the multiple data systems used to update and maintain data integrity in Ellucian CRM, the college’s complex alumni and donor database.

Job Description

This position also serves as the Advancement Division liaison to the Business Office and is responsible for new fund set-up, audit preparation and regular reconciliations. In addition, the position may be asked to oversee the work of work-study students assisting with gift processing and stewardship.

Responsibilities:

    Acts as Data Administrator for all giving to Hartwick College. Primarily responsible for processing various types of gifts, including, but not limited to, stock, DAFs, pledges, bank transfers, grants, IRA’s and bequests. Responsible for maintaining accurate and up to date donor and constituent records, creating new records and record updates.Responsible for all aspects of database gift entry in the CRM and must be able to independently handle processing of lockbox, credit card, wire, stock, pledge and gift agreements and all other types of transactions.Process gifts in a timely manner and ensure all gift codes are accurately applied.
    Maintain ongoing gift data hygiene, maintenance, and ad-hoc clean-up projects and other necessary tasks to ensure integrity of the database.Prepare acknowledgement correspondence.Manage monthly close protocol including: pulling reports, understanding reconciliation steps, and working with finance and gift officers to resolve any discrepancies.Manage quarterly pledge analysis process.Ensure proper entry of all relevant information for processing gifts.Manage and coordinate general accounting, monthly reconciliation of gifts, and annual audit requests.

This position is required to work during Winter Break, Alumni Weekend, and College Days of Giving. The work hours are Monday - Friday 9:00 a.m. to 5:00 p.m.

Qualifications (required)

    High school diploma/GED; 5 years' experience in related functions in an academic setting, preferably in advancement, or equivalent combination of education and experience required. Ability to communicate effectively and professionally, both verbally and in writing. Ability to handle confidential information appropriately. Highly organized and detail-oriented with high level of initiative, commitment to follow through, and willingness to assume responsibility. Demonstrated ability to manage and prioritize projects in a timely, effective manner. Ability to handle high volumes of work. Ability to work effectively as part of a team. Must be able to manage multiple daily tasks while working quickly, accurately, and independently. Demonstrated ability with Microsoft Office, Word, Excel, PowerPoint, and relational databases functionality. Ability to staff events as needed.

Qualifications (preferred)

Bachelors’ degree from an accredited institution
Knowledge of Ellucian database
Knowledge of advancement writing
Preference given to candidates familiar with Hartwick College constituents and processes

This position may be hybrid with a minimum of three days on campus.

This is a full time, nonexempt position.

Pay Range
$ 20 to $22.50/hour

Athletics
Hartwick sponsors 18 intercollegiate teams, 8 for men and 10 for women. Hartwick sports compete at the NCAA Division III level.
